Under the general supervision of the Director of Claims, this position is responsible for performing a broad range of technical and administrative duties to support the Claims Department. Key responsibilities include processing new claim intakes, assisting members, initiating and managing incidents and claims, and overseeing the Student Injury Claims Program.
This role may also involve managing a small caseload from intake through resolution, ensuring timely and accurate handling in accordance with established procedures and policies. Additional duties include general office support such as claim indexing, filing, maintaining accurate records, and operating standard office equipment. The position operates within a structured framework and collaborates with various staff across the department.
Essential Duties
General Responsibilities
Generate claims loss run reports for Company staff and members.
Set up, maintain, and modify property and liability claims in the claims database.
Assist in administering claims programs, including the Student Injury Claims Program.
Collaborate with the System Administrator to support claims database operations, ensuring system functionality, data accuracy, and timely vendor responses.
Respond to member inquiries regarding new incidents, claims, and the Student Injury Claims Program.
Maintain a strong understanding of Company operations, internal claims procedures, workflows, vendor panel, and program objectives.
Interpret and analyze lawsuits to initiate new claims.
Demonstrate thorough knowledge of the California Government Tort Code.
Provide excellent customer service, including handling phone calls, answering questions, and gathering information.
Assist with auditing vendor invoices and resolving payment inquiries.
Perform routine clerical duties such as typing, filing, answering phones, operating office equipment, and distributing mail.
Prepare and proofread written communications for members and external parties.
Use computer systems to enter, update, and retrieve organizational data.
Schedule meetings, conferences, and services as directed.
Assist with maintaining the Company's video library, shared drive, and website.
Handle incoming and outgoing mail, including daily delivery to the mail facility.
May be required to manage a small caseload of claims as needed.
Other Duties
Support special projects and perform other duties as assigned.
The CEO may revise the essential duties and reporting structure of this position at any time.
Qualifications / Skills
Proficiency in Microsoft Word, Excel, PowerPoint, claims databases, and Salesforce.
Ability to work collaboratively and constructively with colleagues.
Strong customer service and communication skills, both verbal and written.
Ability to interpret legal documents, including lawsuits.
Strong investigative skills for initiating new claims.
Excellent command of English grammar, spelling, punctuation, and vocabulary.
Demonstrate tact, patience, and courtesy in communications.
Ability to work under pressure and manage multiple tasks.
Professional demeanor and positive attitude in all work situations.
Perform technical and clerical duties including data entry, record keeping, and telephone support.
Operate standard office equipment such as computers, copiers, calculators, and telephones.
Maintain organized physical and digital records.
Training & Experience
Minimum of two years of experience as a claims assistant or claims adjuster, with knowledge of legal document interpretation.
High school diploma required.
Relevant experience may be substituted for post-secondary education.
