Position Overview
We are seeking a highly motivated and detail-oriented Marketing Director Assistant to join our dynamic team at a full-service creative and advertising agency. This role will support the CEO in executing day-to-day operations while ensuring seamless collaboration across projects and teams. The ideal candidate is a strategic thinker with a creative eye, impeccable organizational skills, and the ability to thrive in a fast-paced, high-energy environment.
Key Responsibilities
Executive Support
Assist the CEO in managing daily schedules, meetings, and priorities.
Act as a primary point of contact and communication for internal and external stakeholders.
Prepare reports, presentations, and correspondence on behalf of the CEO.
Proposals & Financial Administration
Develop, edit, and format client proposals, ensuring they align with brand standards and client expectations.
Create and manage invoices, ensuring timely and accurate billing updates.
Track key financial and operational performance metrics for reporting.
Project & Team Management
Collaborate with the CEO to oversee and execute project timelines and deliverables.
Coordinate between teams to ensure company objectives are met on schedule.
Manage a team of creatives and marketers, delegating tasks and providing guidance to ensure success.
Creative Contributions
Provide creative support in brainstorming sessions and campaign development.
Review and offer feedback on marketing materials to ensure visual and messaging consistency.
Identify opportunities to elevate creative strategies and deliverables.
Qualifications
Proven experience in assisting executive roles, preferably within marketing, advertising, or a related field.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a knack for creating visually appealing presentations and data reports.
Experience in proposal writing and invoice management.
Strong project and team management skills, with the ability to oversee diverse teams and multitask effectively.
Excellent verbal and written communication skills.
A creative mindset with an eye for detail and design.
