Job Description

The Operations Assistant, based in the Atlanta office, keeps the offices in Atlanta, Nashville, and Knoxville running smoothly by supporting daily operations, managing inventory and film, coordinating vehicle maintenance, handling billing and commissions, assisting installers, and maintaining office organization. The role requires strong organizational skills, attention to detail, and a passion for supporting a busy team. It’s ideal for someone who enjoys multitasking, interacting with customers, and ensuring tasks are completed efficiently while contributing to a positive team environment.

Job Responsibilities

Daily Operations & Administration

• Process daily commissions for all three locations: Atlanta, Nashville, and Knoxville
• Complete daily billing for Atlanta, Nashville, and Knoxville
• Prepare job closeout paperwork as needed (1-year warranty letters, care instructions, etc.)
• Provide backup support on incoming phone lines
• Maintain general office organization and cleanliness

Inventory & Film Management

• Stage film for jobs and check in film deliveries
• Ship film and materials to other branches as needed
• Manage monthly inventory counts across all three locations
• Handle monthly film exception reporting

Financial & Reporting Support

• Reconcile weekly payment reports for Nashville, Knoxville, and Atlanta for collections purposes
• Conduct weekly collections outreach and follow-up for all three branches

Installer & Fleet Support

• Conduct vehicle inspections
• Assist installers with scheduling routine vehicle maintenance

Customer & Team Support

• Update CRM status for completed jobs
• Manage TextUs communication for customer updates and reminders
• Order product samples, manage sample inventory, and mail or distribute as needed
• Order office supplies and snacks for the Atlanta office
• Distribute quarterly swag to branch teams
• Maintain a high level of productivity and customer service by stepping into Ops Manager duties as required

Qualifications

• Responsive and friendly customer service
• Effective organization of multiple concurrent jobs
• Strong written and verbal communication skills
• Familiarity working with online tools like g-suite
• Knowledge of window film is a plus but training will be provided
• CRM experience is a plus
• Sales experience is a plus
